Studio Revenue Share Essentials

Data Collection, Information Processing and Auditing Services

Data is gathered from chain stores and studio to determine what activity is expected vs. what activity was actually received. To do so, Rentrak requests order information from the studio. The chain reports shipments received. These are presented as totals for verification that product ordered and shipped was placed in stores. As rental activity is reported, unique barcodes seen are compiled and reported, which provides a count of active units, or units that are actually in use.

Inventory tracking

  • Identification of titles to be tracked
  • Identification of order quantities by title, by chain
  • Identification of inventory quantities received into each store
  • Identification of individual units by barcode that have had activity (active units)
  • Identification of stores open, receiving product and expected to send data

Data reporting is standardized as much as possible, while still allowing each retailer to perform their business operations with minimal intrusion from Rentrak.

Data collection

    Reporting standards that specify:
  • What specific items of information are to be reported
  • In a standardized format
  • Specific revenue rules and formulas (for voids, coupons, etc.)
    Transaction data reporting will include:
  • Rental transactions
  • Subscription transactions
  • Extended viewing transactions and fees (late fees)
  • Previously viewed unit sales
    Transaction data will incorporate:
  • Coupons, discounts, refunds, voids, employee rental turns, etc.
  • Rentrak will receive and post transaction data daily

After data is collected, Rentrak analyzes the received files to validate all expected stores have reported data for all titles during the expected reporting period. To do so, Rentrak must gather information about store opening and closings in order to know which locations are genuinely missing, and which should no longer be expected to report.

Data validation

  • Perform reasonableness tests on date and revenue amounts

Data recovery

  • Issue requests for overdue data for missing stores, titles or daily feeds
  • Arrange for replacement or corrected data

A secure Web-based reporting system (Rentrak's Home Video Essentials) provides access to the studio's information. The studio controls all distribution of user ids and passwords to allow access for only those users they authorize. All online sessions are secured through the use of secure socket layers (SSL) technology.

MS Excel and Adobe PDF downloads are available so that studio analysts may capture the data in print, or in spreadsheets for sorting, linking and incorporation into existing studio reports.

Field Audits

Field audits are conducted to ensure the integrity of revenue sharing and to minimize risk while maximizing revenue. Rentrak will provide a statistically relevant number of store audits (95% confidence level with a maximum 2% variance) for each major chain on a monthly basis. Audit results will be reported monthly on an actual, and projected, basis.

  • The following items are examined during a Rentrak field audit
  • Inventory differences between store and corporate records
  • Transaction/revenue differences between store and corporate reported activity
  • Unusual ordering or sale patterns
  • Verification of employee rentals
  • Review of store rental activity
  • Identification of any mismatched titles
  • Our target audit reports combined with our field audit functions will allow Rentrak to
        consistently monitor a chain for the following irregularities
  • Units sold without being processed (or processed correctly) through the store Point-
        Of-Sale system
  • Tapes being moved out of the store without proper reporting
  • Under-pricing of rental, late, or PV sale transactions
  • Incorrect reporting of PV sale voids
  • Stores violating street date on revenue sharing product
  • Fraudulent rental activity

Mystery shopping

Rentrak utilizes mystery shoppers to identify stores who may be underreporting or not entering rentals, sales, or late charges. These mystery shoppers are located throughout the United States and communicate their results directly to our main office.
